Transforming Global Meeting Spaces with COLL-IN
Creating flexible, technology-led collaboration environments for a globally recognised professional services organisation
About the project
A globally recognised professional services organisation set out to create more collaborative, intuitive and productive meeting spaces across offices in multiple countries.
The objective was to give employees a more effective way to bring together documents, applications, presentations and live content within a shared interactive environment.
Future Software supplied a combination of COLL-IN, COLL-IN Table and COLL-IN Stage solutions, creating a consistent collaboration experience across a wide range of spaces, from smaller meeting rooms and workshop environments to larger presentation areas.

Case Study Breakdown:
01
The Challenge
The organisation was investing in advanced workplace technology to improve the way employees communicated, presented information and worked together.
Its existing meeting spaces needed to evolve beyond traditional screen-sharing and presentation setups. Employees required a more flexible environment where multiple sources could be viewed simultaneously, ideas could be explored visually and content could be annotated and discussed in real time.
The rollout also had to work across multiple countries and office locations, each with different room types, working styles and local technology environments.
Some offices relied on Microsoft OneDrive, while others used Google Drive. The collaboration platform therefore needed to support the cloud environment already established within each location, without requiring offices to change the way they stored and accessed content.
02
The Solution
Future Software delivered a combination of COLL-IN, COLL-IN Table and COLL-IN Stage solutions across the organisation’s international offices.
COLL-IN provided a flexible digital workspace where employees could open and arrange multiple documents, applications and content sources on one interactive canvas. This allowed teams to compare information, develop ideas and move more naturally between presentation and discussion.
COLL-IN Tables created shared, interactive spaces where employees could gather around content and collaborate in a more engaging and inclusive way.
For larger rooms and presentation environments, COLL-IN Stage extended the same experience across large-format displays, allowing presenters to manage multiple sources while keeping information visible and accessible to the wider room.
Each deployment was configured to support the cloud platform used locally. Offices operating through OneDrive could access their established Microsoft environment, while locations using Google Drive could continue working through their existing Google workflows.
03
Software Built Around the Customer
The project was designed to make meetings more intuitive, visual and productive. Rather than limiting users to one document or application at a time, COLL-IN enabled multiple sources to remain open and visible within the same workspace. Teams could bring together presentations, reports, images, live applications and supporting information without repeatedly switching between windows.
The range of COLL-IN solutions also allowed the experience to be adapted to different working environments:
-
All COLL-IN's supported interactive meeting and presentation spaces & group-based collaboration
-
COLL-IN Stage delivered the same flexible experience across larger displays and rooms
-
Multiple content sources could be viewed and managed simultaneously
-
Information could be annotated and discussed in real time
-
Google Meet and Microsoft Teams workflows were supported
-
The platform could be developed further around customer-specific requirements
This flexibility allowed the technology to support the way employees already worked, rather than forcing them into a rigid meeting format.
04
The Outcome
The COLL-IN deployment helped the organisation create more engaging and collaborative workplace environments across its international offices.
Employees gained a more intuitive way to access, present and discuss information, with multiple documents and applications brought together within one shared visual workspace.
Different types of spaces could be designed around different ways of working, from focused team meetings and interactive workshops to larger presentations and collaborative sessions.
Despite variations between individual offices, the organisation was able to deliver a consistent COLL-IN experience across the wider rollout.
The project demonstrates how flexible collaboration software can transform meeting spaces into active working environments, helping teams communicate more clearly, explore information more effectively and work together with greater ease.
